SharePoint vs Shared Drives: Which Is Right for Your Business?

If your business still relies on a shared network drive to store and organise files, you’re not alone. Mapped drives have been the default for professional services firms and not-for-profits for decades, and for a long time they did the job well enough. But as teams grow, work from more locations, and collaborate on documents in real time, many organisations start to feel the limits of a simple folder structure on a server.

This is usually when the question of SharePoint comes up. In this guide, we’ll compare SharePoint and traditional shared drives across the areas that matter most to Australian SMBs — collaboration, security, accessibility, and cost — so you can work out which approach fits your business today, and which one will still make sense as you grow.

What’s the difference between a shared drive and SharePoint?

A shared drive is essentially a folder structure sitting on a physical or virtual server, accessed over your local network (or via VPN when working remotely). SharePoint is a cloud-based platform, part of Microsoft 365, designed for document storage, collaboration, and intranet-style team sites.

Storage model. Shared drives store files on-premises or on a single server volume, while SharePoint stores files in Microsoft’s cloud, distributed across secure data centres. This affects everything from how you access files to how you back them up.

Access method. Shared drives are typically accessed via a mapped drive letter on the office network or through a VPN when off-site. SharePoint is accessed through a web browser, the SharePoint app, or directly through File Explorer using OneDrive sync, from anywhere with an internet connection.

Collaboration model. Shared drives generally support one person editing a file at a time, with others locked out until it’s saved and closed. SharePoint supports real-time co-authoring, so multiple people can work in the same Word, Excel, or PowerPoint file simultaneously.

Underlying technology. Shared drives use standard file server protocols and rely on your own hardware or a hosted server. SharePoint is built on Microsoft’s cloud infrastructure and integrates natively with the rest of Microsoft 365.

Collaboration and remote work

For professional services firms and not-for-profits with staff working across multiple offices, from home, or on-site with clients, this is often where the differences become most obvious.

Real-time co-authoring. With SharePoint, several people can edit the same document at once, with changes visible as they happen — no more “final_v3_ACTUAL_FINAL.docx” files circulating by email. Shared drives don’t support this; only one person can safely edit a file at a time.

Access from anywhere. SharePoint is accessible from any device with a browser or the relevant app, without needing a VPN connection back to the office. Shared drives typically require a VPN for remote access, which can be slower and more prone to connection issues.

Teams and Outlook integration. SharePoint document libraries sit behind almost every Microsoft Teams channel, meaning files shared in Teams conversations are automatically stored in SharePoint and kept in sync. Shared drives have no native connection to Teams or Outlook, so files often end up duplicated across email attachments and local downloads.

Mobile access. SharePoint’s mobile apps let staff view and edit documents from a phone or tablet with the same permissions as on a desktop. Shared drives are difficult to access securely from mobile devices without additional VPN or remote desktop tools.

Version control and document history

Losing track of which version of a document is the “right” one is one of the most common complaints we hear from firms still using shared drives.

Automatic version history. SharePoint automatically saves previous versions of every file, so you can see who changed what and roll back to an earlier version in a few clicks. Shared drives generally have no built-in version history — once a file is overwritten, the previous version is gone unless you’ve manually created a backup copy.

Reduced duplicate files. Because SharePoint supports co-authoring and tracks versions automatically, the habit of saving multiple copies with different file names largely disappears. On a shared drive, this duplication is common and makes it hard to know which copy is current.

Audit trail. SharePoint keeps a record of edits, shares, and access for each file, which is valuable for compliance-conscious organisations such as accounting firms, legal practices, and NFPs handling sensitive client or donor information. Standard shared drives typically don’t offer this level of detail without additional, often costly, third-party tools.

Security and permissions

Security is one of the areas where SharePoint has a genuine structural advantage over a traditional shared drive, particularly for organisations handling client, patient, or donor data.

Granular permissions. SharePoint allows permissions to be set at the site, library, folder, or even individual file level, and these permissions travel with the file if it’s shared externally. Shared drives usually rely on broader folder-level permissions set up by IT, which are harder to fine-tune for specific documents or external parties.

Conditional access and multi-factor authentication. SharePoint, as part of Microsoft 365, works with conditional access policies and MFA to control access based on location, device compliance, and risk level. Shared drives depend on your network and VPN security, and don’t natively support these Microsoft 365 identity protections.

External sharing controls. SharePoint lets you share a single file or folder with an external party — a client, auditor, or contractor — with an expiring link and specific permissions, without giving them access to anything else. On a shared drive, external sharing usually means exporting and emailing a copy, which is harder to track and control once it leaves your network.

Data loss prevention. SharePoint integrates with Microsoft Purview and other Microsoft 365 compliance tools to detect and restrict sharing of sensitive information such as credit card numbers or client identifiers. Shared drives have no equivalent capability without significant additional investment.

Backup, disaster recovery, and business continuity

A shared drive sitting on a single on-premises server is a single point of failure. If that server fails, is stolen, or is affected by fire, flood, or ransomware, recovering your files depends entirely on how recently — and how well — you backed them up.

Built-in redundancy. SharePoint data is stored across Microsoft’s geographically distributed data centres, with redundancy built into the platform. A local server relies on your own backup regime, which is only as good as your last successful, tested backup.

Recycle bin and recovery windows. SharePoint retains deleted files in a recycle bin for a set period, and Microsoft 365 offers additional retention and recovery options for accidental deletion or ransomware events. Recovering a deleted or corrupted file from a shared drive typically means restoring from a backup, which can mean lost work between the backup and the incident.

Still, it’s worth noting that SharePoint is not a replacement for a proper backup and disaster recovery strategy — it reduces certain risks but doesn’t eliminate the need for a broader business continuity plan, particularly around ransomware and accidental bulk deletion.

Cost and total investment

Comparing cost isn’t as simple as one line item versus another, and Microsoft’s own licensing changes from time to time, so we won’t quote specific figures here — your IT partner can give you an accurate, current quote based on your user count and existing licensing.

On-premises costs. A shared drive setup typically involves server hardware, ongoing maintenance, backup infrastructure, and eventual hardware replacement every few years. These costs are often less visible day-to-day but add up significantly over the life of the equipment.

Cloud subscription costs. SharePoint is generally included within most Microsoft 365 business plans, meaning many organisations already have access to it without additional licensing cost. The main investment is usually in migration, configuration, and training rather than the platform itself.

Hidden costs of shared drives. VPN infrastructure, manual backup management, and IT time spent troubleshooting access issues are often underestimated costs of maintaining an on-premises shared drive. These are largely eliminated when moving to a well-configured SharePoint environment.

When a shared drive might still make sense

SharePoint isn’t automatically the right answer for every organisation, and it’s worth being honest about the scenarios where a shared drive can still be a reasonable fit, at least in the short term.

Very small teams with simple needs. A small office with a handful of staff working from one location, with minimal need for external collaboration or remote access, may not feel the limitations of a shared drive as acutely.

Specific regulatory or data residency requirements. Some organisations have particular data residency or industry requirements that need careful assessment before moving any data to the cloud, though Microsoft 365 does offer Australian data centre regions that meet many of these needs.

Existing investment in on-premises infrastructure. If your organisation has recently invested in server hardware, it may make sense to plan a SharePoint migration around the natural end of that hardware’s life rather than making an immediate switch.

Making the right choice for your organisation

For most professional services firms and not-for-profits with staff who need to collaborate, work remotely, or share documents securely with clients and external stakeholders, SharePoint’s advantages in collaboration, version control, and security tend to outweigh the comfort of a familiar shared drive.
